The process is very simple. Your drivers have a fuel card and when they fill up at the pump they use the card to pay. Each week, all company fuel card transactions are automatically put together into one, single HMRC compliant invoice. The payment is then taken each week by direct debit and then the individual fuel stations get reimbursed.

Fleet managers and business owners can go onto their online account and track all transactions made on any card at any time, cancel cards and order new ones.

First things first, you fill up at your nearest, participating station. Then, hand the card to the cashier who should then ask for your mileage and registration. These details are required so they are added to your fuel invoice. Lastly, you will need to enter the PIN number to complete the transaction. No receipt is needed.

The purchase is then added to the companies invoice. Using a fuel card allows each employee to purchase fuel without using their own means of payment and claiming expenses back, therefore, reducing admin costs and paperwork.

The company logs in to their portal to view the weekly invoice. The invoices display each transactions details such as fuel type, cost, date, time, price, location and the individual card used to make the purchase.
